Below is our itinerary for the Woodgrove HS competition.
1:00pm – Arrive at Broad Run for rehearsal
1:10pm – Group Stretching – Café or Band Room
1:30pm – Move to gym
2:00pm – Downbeat in gym
4:00pm – End rehearsal/ Snack/ Load
5:00pm – Depart
5:35pm – Arrive Woodgrove
Upon arrival, we will move instruments and props inside to their holding area
Students can store personal belongings in classroom
We will change at Woodgrove
7:02pm – Indoor warm up
7:20pm – Transit
7:29pm – On deck
7:38pm – Perform
7:50pm – Return to trailer & load
Return to watch other groups/Eat
10:00pm – Awards
10:45pm – Depart Woodgrove
11:15pm – Arrive Broad Run
Our departure and arrival times should not change but our performance time could over the next week. Students should eat lunch before arriving to Broad Run. I encourage that they bring a snack to eat before we depart at 5pm. Students should also bring food or money to eat at Woodgrove after our performance.
I see rain/snow in the forecast for next weekend. We will be at the mercy of LCPS as to when and if we will have access to facilities. If there are last minute changes to our schedule due to weather, info will come out via Facebook, Remind, and the student’s group chat. Regardless of the precipitation, we will not warm up outside at Woodgrove since the temps will be low. When we arrive to the show site, we will move equipment to our holding area inside (The Woodgrove map does not currently specify this location. There is a chance they will have us keep everything at our trailers since warm up entrance is from the exterior. Info will come as we get it). Students will have access to a classroom to store personal belongings and hang out during the event.

Tentative Full Performance Schedule:
We’ve changed the signup genius to better suit the positions we need filled at the show. You’ll see that sign up slots are for specific positions (Moving props, Moving Speaker 1, etc.). All volunteers should be signed up for one of these slots. Staff may change individuals tasks when we arrive to the show. I did not specify times for volunteers to arrive on the sign up genius. Similar to last show: If you would like to help load at Broad Run, arrive around 4pm. If you would like to meet us at Woodgrove, Arrive around 6pm to give yourself ample time to find us and get up to speed. We will have a volunteer meeting at 6:30pm at our designated classroom to discuss flow and responsibilities. We may not know our classroom number until we get to the school. We will send out an update when we have this info. Keep an eye on Remind and Facebook. I’ll also ask students to keep their parents up to speed.

We are also still looking for a volunteer to pick up the U haul on Friday afternoon and return it Sunday morning. This could be done by 2 different people is anyone is able to volunteer their time on only one of those days. The Tahoe could be picked up and used to get the U Haul both days.

I had a few parents mention at Mt. Vernon that they would have liked to have seen the run from the front bleachers. If there is open seating in the front, I encourage all volunteers to sit there. Woodgrove’s gym isn’t huge but there should be some open seating you all can find for our performance.
